An EDMS system provides a way of putting documents together in an online repository and associating properties with those documents to make them easier to locate and retrieve by the users. Check-out and check-in of documents are used for creating additional versions and retaining existing ones without overwriting previous versions.

It makes collaboration easy by allowing multiple users to locate and use the most recent version of an electronic document concurrently. In addition, the system supports wide variety of document and data formats.
